Zenia Society (the website at zeniasociety.com and the Zenia Society Android app) is provided by Zeniapex India Private Limited (“Zenia”, “we”). This policy explains what personal data we handle, why, and the choices you have. We follow India's Digital Personal Data Protection Act, 2023.

1. Society records

A housing society's committee uses Zenia to keep its records. What goes in is decided by that committee, and may include residents' names, flat numbers and mobile numbers; contributions, receipts and dues; expenses and bill photos; notices, meetings and resolutions; complaints and housekeeping reports with photos; visitor entries at the gate; and committee, staff and guard logins. We process this data on the society's behalf only to run the service for that society. Requests about a society's records (for example, to correct your flat details) are best sent to your society's committee; you can also contact us.

2. Public ledger and portal

A committee can publish a live ledger and a member portal so residents can check the accounts. The committee chooses what is shown and can require a resident PIN. Society ledger pages are not offered to search engines.

3. Enquiries from this website

When you ask us to set up Zenia, we collect your name, WhatsApp number, society, city and anything you choose to add (email, number of flats, your role, what you need, a message), along with the page and campaign that brought you to us. We use it only to contact you about setting up Zenia, and keep it in our database and our customer relationship tool (Zoho Bigin). We do not add you to marketing lists.

4. The Android app

  • Camera — only when you scan a location QR code or take a photo for a report or task.
  • Notifications — to alert you about visitors, jobs, reports and notices. A device token from Google Firebase Cloud Messaging is stored to deliver them.
  • Files — receipts and statements you download are saved to your phone.
  • Sign-in — a sign-in token is kept on your phone until you sign out.

The app does not read your contacts, location, SMS or call history.

5. Cookies and device storage

We use cookies to keep you signed in, and your browser's storage to keep unsent entries safe offline and to remember which page first brought you to Zenia (sent to us only if you submit an enquiry). If analytics are switched on, Google Tag Manager / Google Analytics measure page visits in aggregate.

6. Who we share data with

We do not sell personal data. We use these service providers to run Zenia:

  • Amazon Web Services — hosting and file storage;
  • Google Firebase — app notifications;
  • Zoho (Bigin) — handling website enquiries;
  • Google Analytics / Tag Manager — website statistics, when enabled.

We may disclose data where the law requires it.

7. How long we keep it

Society records are kept while the society uses Zenia and deleted on the committee's request. Enquiries are kept for as long as needed to follow up, and deleted when you ask.

8. Security

Connections are encrypted (HTTPS), PINs and passwords are stored as one-way hashes, housekeeping photos are kept in private storage, and sign-in attempts are rate-limited.

9. Your rights

You can ask to see, correct or delete your personal data, withdraw consent to be contacted, or raise a grievance. To do so, use our contact page. We reply within 30 days.

10. Children

Zenia is meant for adults running or living in a housing society, not for children.

We will update this page when our practices change and show the new date at the top.
